Why should I store my documents at Archive Security as opposed to a Storage shed?

Apart from the inconvenience of having to send staff to a storage shed during the day, which can interfere with their normal day to day duties, there are many advantages. All boxes and files are barcoded, tracked and then delivered to your office by our professional staff all within the fastest industry standard timeframe (2 Hours). You will have much better control over knowing where your company records are at any given time (via web access) and ease of mind that all records are stored in a highly secure and safe environment.

Can I easily retrieve my records? There are different options in retrieving records.

These options range from sending through an electronic request via e-mail or web, faxing and phoning. All requests are acted on immediately and will be delivered within our agreed times, be it our standard half day turnaround or within 90 minutes. If a request is required even quicker or it is for interstate, we can scan the record that is required and have this emailed to you.

Can I manage my inventory online?

Archive Security has developed its own internal operating system. This has been developed with the help of various experts in the records management field along with input from our customers. This is not an off the shelf system which means that we have the greater flexibility in what we can provide to the customer.

All information is stored on our database, ranging from the time the box or file was picked off to the shelf till the time it has arrived back at our warehouse. Information such as requestor, time of request, time of delivery/pickup, signature of person signing for the request is captured electronically, in real time, and can be viewed online.

The customer also has the ability to catalogue online and view all records from within any box they require. They will have the ability to edit details and run any report based on the information they require.

Will I have a dedicated account manager in my State?

We believe that it is important for our customers who work in the state deal with people who live in the state. We all know how frustrating call centres are when trying to do business with people who are several thousand kilometers away. This can be extremely important when requesting deliveries such as urgent request as local knowledge can be invaluable.

Can I have 24 hour access to my records?

We have staff available, on call, 24 hours 7 days a week. The number to ring is 1300 654 954 Where do you have your Storage Facilities? More importantly where do we not place our storage facilities. When looking for a site there are several consideration we take into account. We make sure the area is not subject to flooding or adjacent rail lines, high voltage transmission lines or magnetic fields.

What do I do in the event of a disaster?

Call Archive and we will ensure that you have all the relevant information available to you to follow your DR plans.

How long have you been in the industry?

Archive Security has been in business for over 35 years in NZ and Australia and continues to grow and develop our processes and technology to be the leader in our field.

Do you have contracted or permanent staff?

All Archive Security staff are full time employees. All our employees have undergone police checks before they have been employed. We do not believe in contractors as we feel we can lose control over the quality of service that is given to our clients.

How secure are your facilities?

Our facilities are highly secure. CCTV cameras are placed in strategic positions externally and internally around our building. The facility is monitored 24 hours a day, 7 days a week and access to all internal areas are by swipe card only and the use of these cards used are recorded.

What types of business use your service?

These businesses range from accounting firms through to high security weapons and defence contractors. There is no special type of business that requires our services, only businesses that have no space to store any more records or businesses that require a safe and secure environment that want to manage their records more effectively.
